Case Study: Makpar Enabling a Digital Workforce by Implementing M365

According to a 2022 Ernst & Young study, putting humans at the center of workforce transformation efforts will help governments deliver the benefits of digitalization.

Providing government workforces with the right digital tools can also help agencies to reduce technical debt, deliver cost-savings, and enhance overall digital modernization efforts.

Makpar recently helped a government agency to migrate its large productivity and collaboration suite, a set of tools used daily for its teams supporting internal infrastructure and operations, to the M365 cloud-hosted environment.

The agency’s mission was to reduce Operations and Maintenance (O&M) costs overall. The agency also wanted to provide opportunities for future scalability, enhancements, and flexibility.

Makpar supported this effort by providing overall Program Management, including technical subject matter expertise and execution support.

This was no small task – from a data workload and user perspective. The project supports 90+ thousand users, 481 terabytes (TB) of total email data, and over 121M files with a total size exceeding 114 TB.

The Makpar team developed the technical roadmap, developed the requirements, and worked with the policy ownership organization to determine the scope and relevance of applicable privacy and data security policies to all data within the M365 environment. The team also educated all stakeholders and built the overall technical architecture.

Following are the best practices that Makpar used for this successful implementation:

  • Led the overall implementation strategy with a cross-organization, multi-discipline group.

  • Implemented a Human-Centered-Design focused process development approach.

  • Achieved consensus and minimized disruption to users.

  • Created repeatable processes that increased overall efficiency.

  • Provided ongoing project management support.

Here are the results of this effort:

  • Reduced Time: Ensured smooth transition to project goals while maintaining security and compliance.

  • Increased End User Satisfaction: Simplified the overall user experience by consolidating file storage and workflows into a single unified platform and improved collaboration capabilities across the organization.

  • Reduced Technical Debt: Accelerated the adoption of Cloud based offerings.

  • Reduced Potential for Technical Debt in the Future: Set up a Continuous Automatic Update Approach.

In the end, the customer enhanced its digital workforce capabilities across multiple agency networks with a diverse and nationwide dispersed user base. The effort also supports enhancements and information sharing, as well as allows the agency to leverage modern tools and technologies.
